Receptionist

TCES is seeking a qualified Receptionist to join our team. The ideal candidate will be honest, trustworthy, detail-oriented, and possess a strong work ethic with a positive attitude. We are looking to fill this position immediately.

Responsibilities

  • Greet visitors and clients with a warm, friendly demeanor and assist them as needed.

  • Manage incoming calls and emails, directing them to the appropriate departments.

  • Schedule and coordinate meetings for the President and Vice President.

  • Arrange travel and accommodation for executives and other staff members.

  • Handle incoming and outgoing mail, packages, and deliveries.

  • Prepare, organize, and store information in both paper and digital formats.

  • Maintain office supplies and ensure the office is well-stocked and organized.

  • Assist with basic administrative tasks, such as typing up letters and reports, printing, and photocopying.

  • Take minutes at meetings and distribute them as necessary.

  • Liaise with suppliers, contractors, and staff in other departments, including finance and HR.

  • Update and maintain client databases and track accounts as requested.

  • Provide support with billing by preparing and sending invoices, and overseeing the invoice workflow.

Essential experience & skills

  • Strong communication and interpersonal skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Excellent organizational skills and attention to detail.

  • Ability to multitask and manage time effectively.

  • Previous experience in a receptionist or administrative role is preferred.
