TCES is seeking a qualified Receptionist to join our team. The ideal candidate will be honest, trustworthy, detail-oriented, and possess a strong work ethic with a positive attitude. We are looking to fill this position immediately.
Responsibilities
Greet visitors and clients with a warm, friendly demeanor and assist them as needed.
Manage incoming calls and emails, directing them to the appropriate departments.
Schedule and coordinate meetings for the President and Vice President.
Arrange travel and accommodation for executives and other staff members.
Handle incoming and outgoing mail, packages, and deliveries.
Prepare, organize, and store information in both paper and digital formats.
Maintain office supplies and ensure the office is well-stocked and organized.
Assist with basic administrative tasks, such as typing up letters and reports, printing, and photocopying.
Take minutes at meetings and distribute them as necessary.
Liaise with suppliers, contractors, and staff in other departments, including finance and HR.
Update and maintain client databases and track accounts as requested.
Provide support with billing by preparing and sending invoices, and overseeing the invoice workflow.
Essential experience & skills
Strong communication and interpersonal skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Excellent organizational skills and attention to detail.
Ability to multitask and manage time effectively.
Previous experience in a receptionist or administrative role is preferred.
